A. Review of Program or Individual Generated Projects

Materials in the following categories need to be reviewed and approved by Marketing and Communications Coordinator prior to publication:


• all materials going off-campus to our “external audience”
• all materials representing program information to the public and potential students
• any project with significant exposure (publications distributed to all our students, e.g. the Schedule of Courses, Student Handbooks)
• all advertising [print, radio, electronic]


Materials generated through Leeward CC Creative Services will automatically be reviewed and approved. Materials that fall into any of the above listed categories and are not created by CS staff need to be reviewed and approved. Materials should to be submitted as a PDF file to Kathleen Cabral via email [kcabral@hawii.edu] for review at least one week ahead of press or production deadline time.

 

B. Requesting Services or Initiating a Project

Please be sure to consult with Kathleen Cabral prior to submitting a marketing request. Many times a request is submitted for a brochure or flyer to promote a program or activity when there other methods should be explored for effectiveness.

B.1 Submit Request in Written Form

A Creative Service Request Form must accompany all requests. Download form.


B.2 Project Logged In


Upon receipt of Request, the project is logged in and placed on the Production Calendar. Priority is given to the College’s major projects, as noted above. If a meeting is deemed necessary, you will be notified. Kathleen Cabral handles scheduling and prioritization. If the current production schedule cannot accommodate your requested due date, CS Staff will work with you on alternative options.


B.3 Scheduling Your Project and Turnaround Time


Certain projects, such as the College Catalog and Schedule of Classes, will take priority over all other publications. It is, therefore, recommended that all projects be planned as far in advance as possible. Other projects being managed by Creative Services may also affect the production schedule. Every effort is made to produce each publication in a timely, efficient manner, but occasionally projects such as the catalog or course schedules must take precedence.


The following are suggested general timeline expectations for basic publications. Timelines vary and are quite dependent on previously scheduled production commitments. Please submit requests following the suggested timelines below:

B.4 Planning


The concept, editorial content, design, and production all work together to achieve clearly articulated goals within a specific budget and time frame. The following steps are needed for most projects:

Step 1: Planning
Step 2: Meet with Creative Services; build a Production Timeline*
Step 3: Begin assembling and preparing the content of the publication
Step 4: Design and formatting begins
Step 5: Proof review
Step 6: Final OK
Step 7: Printing/Copying

*Production Timeline includes dates to:
-submit all original (and final) materials to Creative Services
-review design concepts
-select or arrange for final art/photography
-review and revise text, layouts, artwork
-select colors, paper, and printing/copying options
-proof final pages and making corrections
-approve job and release to printer
-print & finish of job
-job delivery
